Key Responsibilities
Reception Effective operating of the tasks required to deliver professional service at the Reception Desk
Effective preparing and managing of the tasks required to deliver well prepared Meeting rooms for internal and external meetings
Ensuring that any infringement to the safety and security of visitors (and their equipment) in the building is reported to the Line/Building Manager immediately
Ensuring that the Security staff is well trained in all aspects of the rendering of the Reception Desk/Meeting room services
Operating/Managing the switchboard and directing it to the appropriate person
Greets and directs visitors as appropriate and regulates visitor traffic. Register guests in a professional, efficient and thorough manner.
Interacts with visitors and clients in a non-abrasive manner, enunciates clearly and projects a pleasant voice and personality, being tactful and courteous
Reconciling and preparing of the Courier Services’ accountManaging the dispatching and receiving of correspondence, packages and other documents
Reconciling and preparing the Courier Service’s account to enable the Line Manager to authorise payment
Solving any problems with the appropriate persons with the relevant courier company regarding the account
SwitchboardEffective operating, managing and updating of all relevant tasks/reports related to the Switchboard
Supplying of all required reports from the relevant telephone management systems on request
Allocating of new extensions and cancelling of extension of staff when terminating their service with the company
Updating of the telephone director/list on a monthly basis
Supplying the monthly reports to the finance department to enable them to reconcile the telephone accounts
Canteen SystemEffective operating, managing and updating of all relevant tasks/reports related to the canteen system
Supplying of all required reports from the relevant canteen system on request
Minimum Requirements Matric
At least 3 years' experience as a Receptionist in an asset management environment or in the general financial services’ environment.
Competencies Technical Competencies:Excellent client interaction skills
Excellent interpersonal and communication skills as well as a professional telephone manner
Ability to speak English and Afrikaans fluently
Computer literate in MS Office
